eazyBI actions in Rovo agents are available only for Atlassian Cloud customers with Rovo Studio
Overview
eazyBI for Jira provides Rovo actions (shown as tools in Rovo Studio) that let a custom Rovo agent read your eazyBI reports and answer questions with real numbers from your eazyBI accounts.
On this page, you will learn how to create a custom agent in Rovo Studio, add the eazyBI tools to it, and give it instructions to use them effectively.
With an eazyBI-enabled agent, your users can, for example:
- Ask "How many bugs were resolved last sprint?" and get the answer from an existing eazyBI report.
- Find a report by topic and get a short summary of its results.
- Ask how a report is calculated, based on its definition.
- Ask about an eazyBI gadget on a Jira dashboard and get its results explained.
eazyBI provides these tools:

The agent always works with the permission of the person chatting with it. Users see only the eazyBI accounts and reports they already have access to in eazyBI.
Before you start
Check that the following is in place:
- Rovo is enabled for your Atlassian organization. An organization admin manages this in Atlassian Administration.
- You can create agents in Rovo Studio. Your organization admin may limit who can create agents.
- You have access to at least one eazyBI account with saved reports. The agent can use only existing reports.
Tip: Agents answer best when reports have clear, descriptive names (for example, "Resolved bugs by sprint" rather than "Report 3"). Consider renaming key reports before you build the agent.
Create an agent and add eazyBI actions
Step 1. Open Rovo Studio
In Jira or Confluence, open the app switcher in the top-left corner and select Studio.
Step 2. Select Create
In Studio, select Create in the top-right corner. The Studio start page opens.
Step 3. Start an agent from scratch
The start page lets you describe an idea for Rovo Studio to build. To set up the agent yourself, under Or start from scratch, select Agents.
Studio creates a draft agent named Untitled Agent and opens its Details page. You will fill in this page in the next steps.
Step 4. Name and describe the agent
- Select Untitled Agent at the top of the page and enter a name, for example, eazyBI Report Assistant.
- Select Add a description and describe what the agent does, for example, Answers questions about team metrics using eazyBI reports. People see this description when they browse agents.
Step 5. Write the instructions
In the Instructions field, describe the agent's role and when it should use the eazyBI tools. Paste the example below and adjust it to your team.
You are a reporting assistant for the Platform team. When a user asks about metrics, counts, trends, or KPIs, use the eazyBI tools: 1. If the user does not name an eazyBI account, get the eazyBI accounts and use "Platform Jira" by default. 2. Search eazyBI reports for the report whose name best matches the question. 3. Get the report results and answer with the specific numbers. 4. If the user asks about a Jira dashboard gadget, get the Jira gadget parameters first to find its report. Always name the report you used, so users can open it in eazyBI. If no report matches, say so and suggest the user create one. Do not guess numbers.
Step 6. Add skills (optional)
Skills give the agent reusable guidance on how to use its tools and handle specific tasks. eazyBI tools work without skills, so you can skip this step. If you want to add one later, select Add skills.
Step 7. Add eazyBI tools
- In the Tools section, select Add tools.
- Filter by app and select eazyBI, or search for "eazyBI".
- Select the eazyBI tools you want the agent to use.
- Select Add.
For a general reporting agent, start with Get eazyBI accounts, Search eazyBI reports, and Get eazyBI report results. Add “Get eazyBI report definition” or “Get eazyBI Jira gadget parameters” when your users need those answers.
Rovo Studio recommends up to five tools per agent, which matches the five eazyBI tools. If your agent also needs Jira or Confluence tools, pick only the eazyBI tools it needs, or use a subagent (see Step 12).
Step 8. Choose knowledge sources
In the Knowledge section, choose what the agent can use to answer besides eazyBI. The default is All knowledge. To keep answers focused, you can limit it to, for example, the Confluence space where your team defines its metrics. The agent always respects user permissions.
Step 9. Set reasoning
In the Reasoning section, configure the depth and speed of the agent's responses. Deeper reasoning can help when the agent needs several eazyBI tools in a row, for example, to find the account, search reports, and get results.
Step 10. Add conversation starters
In the Conversation starters section, add two or three example questions to give people a starting point, for example:
- How many issues did we resolve last month?
- Show me the open bugs trend for this quarter.
- Which eazyBI reports do we have about sprint velocity?
Step 11. Keep web search off
Leave the Web search toggle off so the agent answers using your eazyBI data, not from public websites.
Step 12. Add subagents (optional)
A subagent has its own tools and instructions and handles specific scenarios for the main agent. Use one if you need more than five tools. For example, a subagent with Get eazyBI Jira gadget parameters and Get eazyBI report results can answer questions on the Jira dashboard. To add one, select Add subagent.
Subagents don't inherit instructions, tools, skills, or knowledge from the main agent, so set them up separately.
Step 13. Test the agent
- Select Test in the top-right corner and ask one of your conversation starters.
- The first time the agent uses an eazyBI tool, Rovo may ask you to allow access. Review and confirm.
- Check that the answer names the right report and the numbers match what you see in eazyBI.
If the agent selects the wrong report, make the report names more specific or include the report name in the instructions (for example, "For velocity questions, use the report Sprint velocity by team").
Step 14. Publish and share the agent
- Select Publish in the top-right corner.
- In the sidebar, open Users and collaborators to add users who can use and edit the agent.
Your users can now find the agent in Rovo Chat and start asking questions about their eazyBI data.
Permissions and data access
- The agent acts as the user who is chatting with it. It sees only the eazyBI accounts and reports that this user can see in eazyBI.
- Sharing the agent does not share eazyBI data. A user without access to an eazyBI account sees no results.
- To remove an agent's access to eazyBI, remove the eazyBI tools from the agent in Studio.
Limitations
- The agent reads existing reports. It does not create or edit reports, change cube data, or run imports.
- Very large reports may be shortened before the agent reads them. Use page filters or smaller reports for precise answers. Too large report results might be truncated
